Start With a Repetitive Business Process, Not With an AI Model

The strongest automation projects begin with a clear operational problem: repeated data entry, manual lead routing, copying information between systems, preparing recurring reports, or drafting standardized responses for human review.

AI is useful when a step requires classification, extraction, summarization, or drafting that traditional rules handle poorly. It should not be added merely because the technology is available.

Separate Deterministic Steps From Probabilistic Steps

Business rules such as validating an order total or checking whether a required field exists should usually remain deterministic. AI can assist with less structured work, but its output should be validated before sensitive actions are taken.

A reliable workflow often combines APIs, database rules, queues, retries, and explicit AI steps rather than asking one model to control the entire process.

Keep Humans in the Loop for Sensitive Actions

Outbound messages, financial changes, account permissions, destructive actions, and high-impact customer decisions deserve stronger approval boundaries. A useful AI system can prepare a draft or recommendation while a person confirms the final action.

This design also makes errors easier to diagnose because the system has a clear audit trail between suggestion and execution.

Measure Time Saved and Failure Rate

Automation success should be measured with operational outcomes: minutes saved per case, reduction in duplicate entry, response time, error rate, throughput, and recovery from failed integrations.

If a workflow needs constant manual repair, it is not truly automated. Monitoring, idempotency, retry logic, and documentation are part of the product—not optional cleanup after launch.
